Trust & status

What matters when you put inventory, customers, and daily sales on a platform — who owns the relationship, live status, backups, your data, and metal prices. No vanity metrics.

You stay the shop

Always true

SpotPro is software for your dealership — not a marketplace that takes your customers, and not a network that forces you to share stock or pricing. These five stay true as we add channels and tools:

  • Your customers are yours. We do not hand your buyer list to other shops or market them on someone else’s behalf.
  • Your inventory is yours. We do not put your stock on another dealer’s shelf or a SpotPro multi-dealer glass without your control.
  • Your prices are yours. You set premiums and list prices. SpotPro does not publish named “Shop X charges Y” comps or tell you what you must charge.
  • Data isn’t a product we flip. We run the platform you use. We do not sell your customer book or inventory dump as a third-party product.
  • We are not competing with you for the same retail buyer. You are the merchant of record on your rails. SpotPro is the operating system under the counter and online — not the storefront of a thousand dealers under our brand.

We will not

  • Named comps / price surveillance — no public or peer leaderboard of “what this other shop charges.”
  • Forced network opt-in — optional tools stay optional. You keep full SpotPro value if you never join any peer program.
  • Handing out customer lists — other dealers do not get your buyers as a lead gift.
  • Forced compliance theater — we don’t bury “share everything” as a condition of using the POS, storefront, or auction you already paid for.

Platform reliability (status, backups, exports) is below. Ownership of the customer relationship is above — both matter.

Your data

You can leave with your data

Members can download an Export my business pack anytime: inventory, sales, customers, media list, and optional photos (size-capped). Accounting-oriented CSVs live under POS Reports. That is the practical answer to “what if we switch tools in five years?”

  • Path in members: Reports → Export my business
  • Formats: CSV (+ photos folder when selected)

Backups

Automated daily full-account backups, with an offsite copy separate from the live host. We monitor backup freshness and alert ourselves if something looks wrong. We practice restoring the database so recovery is not a theory.

  • Typical recovery point: up to about 24 hours (last good nightly backup)
  • Database restore on our side is measured in minutes on this host; standing up a brand-new machine after total host loss takes longer (hours, first time)

Metal prices

Primary + backup feeds

Live gold, silver, platinum, and palladium for POS, scrap, boards, and spot-linked storefront pricing come from a primary market feed, with an automatic backup API if the primary is unavailable. A watchdog watches freshness and alerts us. If both sources fail, bullion safety paths can pause automated web pricing so you do not sell at a broken number.

Security (practical)

  • Optional two-step verification (authenticator app) for the dealer login — Configuration → Two-step verification
  • Staff PINs at the counter for attribution and control
  • Inventory change history on each item (who changed quantity, cost, price, etc.)
  • Card payments use your merchant processor (or Stripe for SpotPro subscription billing) — we are not asking you to vault full card numbers in SpotPro
  • HTTPS on public sites

Optional public-buy holds

Waiting periods you control — not a pawn product

Some shops want a waiting period after buying scrap or other goods from the public before those items sell. SpotPro’s optional Purchase holds let you keep stock out of sellable inventory for N days, print safe-pull / held-lot sheets, and get a release notice — without turning SpotPro into pawn-loan software or claiming we enforce every local statute.

Not legal advice. You remain responsible for compliance with city, state, and federal rules that apply to your business.

How to read the uptimes

Host continuous uptime is how long this server has run without a reboot. Planned maintenance that reboots the host resets that number; we do not pad a yearly % by ignoring those reboots.

Spot sample % is how often we successfully recorded metal prices in each 5-minute window. If we ever schedule feed or host work, those windows can be listed as maintenance so they do not look like a mystery outage.
