Open NumisNexus when someone walks in with junk silver, an estate box, or a stack of slabs. Use purchase presets (American Silver Eagles, 90% junk, scrap gold jewelry, graded coins, proof sets, and more), set qty, and watch the total. Live spots keep bullion honest. Greysheet hints show on collectibles when your keys are connected.

Mark the buy as shop or coin show so reporting stays honest after a bourse weekend. Finalize prints a customer receipt, optional estimate if they want to think about it, and a store copy for your file. Lines can push into inventory in the same flow so you are not retyping later.

Stock from buys

Finish a buy, review it, then stock into inventory — including group/album breaks when you open a set. Titles, cost, and barcodes land ready for checkout and labels so buy-to-case is one flow.

On finalize, print a customer purchase receipt, an estimate/quote for the table when they are not ready, and an internal store copy with line items, totals, and a barcode so you can track what was in each buy for your file.

Sell at the register — Sales Checkout

Scan a barcode or type a search, set quantity, override price when you mean to, and add to the cart. Take cash, card, or check and print the receipt. The venue badge (in-store vs show) switches with a click so weekend tables do not pollute shop reports.

Web pickup sits on the same screen: look up an ExtraCoins order, confirm Zelle when the customer is standing there, or mark picked up. Optional wholesale discount toggles from POS Config when you sell to another dealer at the counter.

Slab cert tracking

  • Optional collapsible Certification block on New Item, Edit, and online New/Edit Listing — closed when empty so raw stock stays simple.
  • Save PCGS, NGC, ANACS, ICG, CAC (or Other) service, cert number, and grade on the same POS SKU. Listing photos of the slab are the listing — we crop the coin out as extras.
  • On a computer: Read cert # from a photo (phone QR) fills fields on the desktop. On a phone: capture on that device. Scan is OCR only — not a second set of listing photos.
  • Use AI / Coin lookup also checks a PCGS cert number with PCGS — missing number, or a different coin on that cert, is flagged before you stock.
  • Search Current Inventory by cert number; soft warning if another of your items already uses the same cert.

On New Inventory Item, type a year, name, or GSID, pick a match, and SpotPro pre-fills identity fields. You are not retyping a full title for every Morgan, cent, or small-size note. After the match, choose grade when you need guide pricing — grades are not counted as separate catalog rows. One-off supplies and non-catalog items can still be typed manually. World coverage is selective (popular foreign), not every country on earth. Live guide values still use Greysheet keys after the trial; the searchable structure for entry is local.

AI coin lookup & add from photos

Photograph a raw coin or a slab with your phone (or type the name). Raw: front and back of the metal. Slab: add a label shot. SpotPro identifies it, matches Greysheet, and shows your buy and sell — junk pay, bullion premiums, collectible markups — not a generic collector-app number. Same photos fill New Inventory Item or go to NumisNexus. This is the shop, not CoinSnap.

On a PCGS slab, SpotPro reads the cert number and checks it with PCGS. If that number is not in their files, or if PCGS has a different coin on that cert, Coin lookup and Use AI both say so before you pay or stock.

Inventory Quick Add — bulk catalog work in minutes

Moving into SpotPro — or restocking catalog shelves — should not mean typing every mint set and proof single by hand. Quick Add pulls Greysheet catalog rows by product line: U.S. Mint Sets, clad and silver proof sets, ATB proof singles, ASE, commemoratives, and more.

Pick a year range, preview sell prices, set qty on checked rows, and commit the whole run. Each SKU gets a consistent title, SP barcode, and description ready for checkout and labels. One-off slabs and estates still use New Inventory Item with catalog search; Quick Add is for the multi-year product lines that used to eat a weekend.

Lookup is not the buy desk: Lookup is catalog reference (item need not be in stock). NumisNexus writes the ticket and stocks the metal. SpotPro never bills Greysheet lookups — not per call, not after a trial. Greysheet is your separate subscription. Staff, PINs, and control

Counter staff use a 4-digit PIN — not a full SpotPro login for every cashier. Enable “Require staff PIN to open” in Point of Sale Config so Checkout and NumisNexus show a lock screen until someone unlocks. Staff sessions last about 8 hours; Switch user locks again for the next person. Managers and owners can approve voids and price changes when those options are on.

Sales and buys attribute to the person signed in on the counter. Staff PINs live under Staff and Access — not Company Profile. Switch user when the next person takes over — no need to close the browser tab.

Is SpotPro just a website builder with a cash drawer?
No. POS is the core: buy desk, register, inventory, labels, staff, and reports. The online store, wholesale, and auction are the same stock list when you need them — not a separate product you re-enter by hand.
Do I need Greysheet to use SpotPro?
No. Bullion presets and inventory work without it. Greysheet Dealer+ keys unlock guide values in Lookup and on collectible buys. You keep your own Greysheet account; SpotPro plugs it in.
Can staff share one login?
Owner/manager use SpotPro accounts. Counter staff typically use 4-digit PINs on Checkout and NumisNexus so sales attribute correctly without sharing the owner password.
What about coin shows?
Tag buys and sales with a show venue, use the same tools on a laptop or tablet, and report show weekend separately from the brick-and-mortar counter.
